Digital Transformation

The paperless office – made possible thanks to the digitalization of business processes.

The cloud is the foundation of digital transformation. It is the central platform for all data and processes. Our cloud not only ensures that data is available wherever it is needed, it also paves the way into the digital future. In the years to come, accounting information will be further refined thanks to networked operations, automated processes, and big data applications. And new consulting services will be made possible which offer clients meaningful data in real time.

You can download new books to your e-reader, even late in the evening on the weekend. Hotel rooms can be booked from on the road using an app, parking tickets can be extended from your smartphone, and government agencies are increasingly making it possible to submit applications online. Everyday life is becoming digital – in many different ways. Habits are changing, as is the demand for digital services. Tax consulting is also embracing digital transformation. Folders and paper documents are gradually disappearing from everyday life.

There is a growing understanding that systems, processes, and routine procedures must change to survive in the digital world. And yet the road is still a long one – consultancies and companies manage data using various formats and storage locations and work with different tools.

Artificial Intelligence – What’s Possible

A robot doing the bookkeeping sounds like science fiction. But in fact, we tested a self-learning accounting system as part of a feasibility study. And it correctly assigned the digital documents to the right general ledger account 90% of the time. It only made wrong decisions in cases where there wasn’t enough past information available related to the document. The larger the amount of data available, the better the system becomes. The system is currently still under development, but when a commercially viable version is available, it will be used to automate financial accounting processes.

Some documents are available in digital form; many others are still in paper form. However, handling data in different formats costs time and money. Our goal is to eliminate this problem and create seamless processes.

Today, more than 370,000 employees receive their pay slips digitally instead of printed out on paper – twice as many as last year. A company’s decision to accept their payroll documents from DATEV in digital form makes it easier to distribute them to employees.

Business owners can activate the Employee Online portal for their employees. This allows employees to view and manage their pay slips on a tablet or smartphone.

And it also eliminates the cost of mailing the documents out each month. When logged in to the portal, employees can view, download, and even print out the papers, if necessary. And best of all, the documents are stored safe and secure at our DATEV Data Center in Nuremberg.

We want to help tax consultants and clients gain digital access to all of the information they need during their daily work routine. Using the DATEV Cloud, they can do this at any time, from any location, in a manner that is compliant with legal requirements.

In addition, we are constantly working on innovative solutions to further digitalize processes and link information more closely together.

New applications such as DATEV Document Upload Online make this possible. And once again, the faster the data gets into the cloud, the smoother the collaboration between the consultant and the client.

Using DATEV Document Upload Online, invoices and documents of all kinds can be uploaded to the DATEV Enterprise Online application. The new, web-based solution can be conveniently opened in a browser.

On this website, you can upload both scanned original paper documents and receipts or documents received in digital form. Documents can be attached and rotated, and a variety of different file formats can be uploaded.

Fuel receipts, bills, and other invoices can also be uploaded to the cloud quickly and easily using a mobile device. Documents that previously disappeared into the glove compartment of the company car or joined the stack on a tray on your desk can now be uploaded to the cloud using scanning apps such as DATEV Upload mobile. Additional solutions from our partners that can be found in our digital ecosystem, the DATEV Marketplace, support the development of digital process chains. And users can be sure that the respective software is compatible with our DATEV applications.

Our goal is to eliminate isolated solutions. Never again forget, overlook, or maybe do the work twice – additional modules such as the “Documentation of the Preparation of Financial Statements” for tax consultants and auditors ensure this is the case. Because digitally optimizing everyday life also means exploiting additional opportunities to adopt a structured approach.

Working seamlessly without switching formats also means being able to audit seamlessly without switching formats. Up to now, reality has been different for audit assignments and involves a tedious documentation process for many auditors. They photograph attachments, copy receipts, record conversations, create notes.
Dealing with these different formats and types of evidence is time-consuming. This is where digital solutions such as our DATEV Audit mobile app can simplify everyday work activities. Using an electronic device, auditors can capture all of the audit evidence while at the client – and then easily upload it to the DATEV Data Center via an encrypted connection. From there, the data is immediately available to the auditor once again and can be directly included in the electronic working papers.
