Statistical agencies also receive the information they need in this manner. The DATEV Cloud is a platform to conduct work, a hub, and an archive all in one.

Connecting Processes without the Need to Switch Formats

A growing number of small and mediumsized companies rely on the benefits of cloud solutions. This can be seen, for example, in the fact that each month, more than 1,500 new users sign up for the DATEV Enterprise Online system. Here, they can both save the data they enter as well as process it digitally without needing to switch between different formats.

Furthermore, they can do so in a cloud that offers space for a large quantity of data and also makes it possible to replicate business processes and connect them in digital form, such as payment transactions and bank account management. With digital document management, documents digitized using a scanner or smartphone can be saved and processed in the data center. Processing electronic invoice data from documents created in the ZUGFeRD format is a perfect example of the benefits that result from an automated workflow: Data imported digitally can be compared electronically to bank account statements from all of a company’s accounts. This automated process also works in reverse  –  payment proposals can be created and sent to the bank via the data center. Companies and tax consultants enjoy equal benefits in this regard. This is because the consultancy also has access to the data, meaning that it can not only keep the client’s books, but also provide the business owner with reports on the basis of up-to-date information. In turn, these reports help companies make the right business decisions.

An Effective Team

According to a 2016 study conducted by the market research institute Vocatus on behalf of DATEV, companies usually remain loyal to their tax consultants for a long time and work with them extremely closely. As such, tax consultants and their clients enjoy a trusting business relationship. One third of the companies surveyed indicated that they communicate with their tax consultant at least once a week. Overall, companies gave their consultants a grade of 1.7 (with 1 being highest), which shows that they value their consultant’s availability, reliability, and current wealth of knowledge.

The companies also highly ranked their consultant’s focus on their needs, the client-specific solutions they proposed, and their consultant’s knowledge of their company. This is why the business relationships between companies and their tax consultants are extremely long, with two-thirds of those surveyed indicating that they have worked with their consultant for more than ten years.

It is a situation skilled tradespeople are all too familiar with: an interesting project is in the works, but it is hard to tell whether or not the job will be profitable beforehand. Labor costs, administrative costs, and the time involved all play a crucial role. To help skilled tradespeople keep an eye on costs and be able to make a sound decision for or against a project, we created the “Construction and Skilled Trades” package for this specific industry. The module enhances our accounting solutions and provides concrete figures for the overhead rates needed by contractors and skilled tradespeople to calculate the profitability of a job.

This industry-specific solution also provides key parameters needed to participate in public calls for tenders. When combined with cost calculations, the result is an overview that clearly shows the profitability of individual construction projects.

It is impossible to imagine life today without smartphones and tablets. Mobile devices are also used in business, giving us the ability to work in a flexible manner. To ensure that the same applies to document entry, we developed a new app – with DATEV Upload mobil, users can simply take a photograph of a document using their iPhone’s or iPad’s camera, upload it using the app, and securely send it to their electronic archive immediately.

Until now, companies were forced to digitize paper documents with a fax machine or scanner. Taking a photograph with the help of the app allows users to directly capture accounting documents where they occur – like a receipt from a parking lot or gas station. As such, the app is particularly practical when it comes to low-value receipts.

Cash Management

Whether retail, hospitality, or other type of company that handles a significant amount of cash – they all use state-of-the-art cash register systems. In order to comply with Germany’s “Grundsätze zur ordnungsmäßigen Führung und Aufbewahrung von Büchern, Aufzeichnungen und Unterlagen in elektronischer Form sowie zum Datenzugriff (GoBD)” (“Principles of proper bookkeeping and storage of books, records, and documents in electronic form as well as for data access”), companies needed to upgrade their electronic cash registers by the end of 2016. The new cash registers must record each item on a daily basis and archive it for the length of the retention period in a format that can be evaluated electronically. If it is not possible to save this data on the device itself, it can be stored on an external storage device unchanged in a format that can be evaluated electronically.

This is a new administrative burden that we want to simplify – we’re developing a special audit-proof, long-term archive for the data that is created by electronic cash registers. In doing so, we’re offering an alternative to solely saving the data in the cash register system that archives it separately from other document and order data. In this context, both individual receipts as well as the day-end closing reports are transferred from the cash register to the archive. The data can easily be provided to an auditor in the event of an external audit.

In order to use the online cash register archive, the business owner only needs an Internet connection. Each day, they can transfer the data generated to the archive using a DATEV interface in the cash register software. DATEV Cash Register Archive Online is scheduled for launch in the middle of 2017.
